IN CASE YOU TRAVEL, LLC
Privacy Policy
Last updated: August 5, 2026
In Case You Travel, LLC ("In Case You Travel," "ICYT," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to our website (www.incaseyoutravel.com), our booking and appointment forms, our email and SMS/text messaging programs, and all travel planning and event coordination services we provide. By using our website or services, you agree to the practices described in this Privacy Policy.
1. INFORMATION WE COLLECT
Information you provide to us. When you schedule a consultation, submit a booking or inquiry form, sign up for our email list, or book travel with us, we may collect: your name and the names of travelers in your party; contact information (email address, phone number, mailing address); date of birth and gender as required for airline and supplier bookings; passport and other government-issued travel document details when required for reservations; loyalty program numbers; emergency contact information; special requests such as dietary, accessibility, or accommodation needs that you choose to share; payment information; and the contents of your communications with us.
Information collected automatically. When you visit our website, we and our service providers may automatically collect standard technical information such as IP address, browser type, device information, pages visited, and referring pages, through cookies and similar technologies. Our website is hosted on Squarespace, and our forms, scheduling, and communications are powered by third-party platforms; those providers may collect technical data as described in their own privacy policies.
2. HOW WE USE YOUR INFORMATION
We use personal information to: provide travel planning, booking, and event coordination services; make and manage reservations with airlines, hotels, cruise lines, tour operators, and other travel suppliers on your behalf; process payments; communicate with you about appointments, quotes, bookings, itineraries, and travel updates; send marketing communications such as trip announcements and newsletters where you have opted in; respond to your inquiries; improve our website and services; and comply with legal obligations.
3. SMS/TEXT MESSAGING PROGRAM
When you schedule a consultation or submit a form on our website, you may be asked to consent to receive SMS (text) messages from In Case You Travel. As stated on our booking page: by clicking BOOK, you consent to receiving SMS messages. Message and data rates may apply, and message frequency will vary. Messages may include appointment confirmations and reminders, replies to your inquiries, booking and travel updates, and, where you have opted in, occasional promotional messages.
Opt-out and help: You can opt out of SMS messages at any time by replying STOP to any message. Reply HELP for assistance, or contact us at 757-529-0655. After you reply STOP, you may receive a single message confirming your opt-out, and no further messages will be sent unless you re-subscribe. Consent to receive text messages is not a condition of purchasing any goods or services.
No mobile opt-in data sharing: Your phone number and SMS consent will not be shared with or sold to third parties or affiliates for their own marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with our messaging service providers solely to enable delivery of the messages you have requested.
4. HOW WE SHARE INFORMATION
We share personal information only as needed to serve you: (a) with travel suppliers — airlines, hotels, cruise lines, tour operators, transfer companies, insurers, and similar providers — to make and manage the reservations you request, which may include transfers to suppliers located outside the United States when your itinerary requires it; (b) with service providers that support our business, such as website hosting, customer relationship management, scheduling, payment processing, email delivery, and SMS delivery platforms, who may use your information only to perform services for us; (c) with our host agency, consortium, or accreditation partners where required to complete a booking; (d) as required by law, subpoena, or legal process, or to protect our rights, safety, or property; and (e) in connection with a business transfer such as a merger or sale of assets. We do not sell your personal information.
5. EMAIL MARKETING
If you sign up for our email list, we will send you news, trip announcements, and travel offers. You may unsubscribe at any time using the link included in every marketing email or by contacting us. We will continue to send transactional emails related to your bookings even if you unsubscribe from marketing.
6. COOKIES AND ANALYTICS
Our website uses cookies and similar technologies for site functionality and analytics. You can control cookies through your browser settings; disabling cookies may affect site functionality. Our website may contain links to third-party sites, including supplier and partner websites; we are not responsible for the privacy practices of those sites, and we encourage you to review their policies.
7. DATA SECURITY AND RETENTION
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. We retain personal information for as long as needed to provide services, satisfy legal, accounting, and reporting requirements, resolve disputes, and enforce agreements. Travel records may be retained as required by supplier, accreditation, or regulatory obligations.
8. CHILDREN'S PRIVACY
Our website and services are directed to adults. We do not knowingly collect personal information directly from children under 13. When a parent or guardian books travel that includes minors, we collect the minor's information from the responsible adult solely to complete the travel booking.
9. YOUR PRIVACY RIGHTS
